Office Administrator (m/f/d)

We are looking for a motivated individual to join our team in Frankfurt, supporting us in commercial project management, project controlling, and payroll accounting. This position is available on a part-time or full-time basis.

  • Independently recording and processing all business transactions, including document organization, VAT and sales tax booking, inventory management, and cost and performance accounting.
  • Managing all accounting tasks related to accounts payable and receivable.
  • Coordinating and reviewing invoicing in collaboration with project managers.
  • Independently reviewing and issuing invoices.
  • Maintaining an internal database to support processes such as time tracking and invoice processing.
  • Preparing and coordinating financial and payroll accounting in close collaboration with our payroll service provider.
  • Aligning bookkeeping records with our tax advisory firm.
  • Close cooperation with our international finance department in the U.S.
  • Completed training as an office clerk, office management assistant, financial accounting, controlling or similar
  • Proven knowledge of GoB/GoBD, HGB and GAAP
  • At least 5 years of relevant professional experience in an engineering office or project-related service company
  • Sound IT skills in the relevant standard software (Word, Excel, Outlook) as well as financial accounting software (experience with Deltek Vantagepoint would be a big plus)
  • High level of organizational skills and pronounced flexibility in completing tasks, even at short notice
  • Ability to work independently, very good communication skills and enjoy familiarizing yourself with new areas and participating in the further development of work processes
  • Quick comprehension, reliability and discretion
  • Excellent written and spoken German language skills (native speaker)
  • Very good knowledge of written and spoken English
